Role Summary:
The role is created to provide a single point of contact and fast track solution for Outdoor Area inspections and licensing along with professional administration support for leasing DMCC assets in the Jewellery & Gemplex and Coffee Centre and to ensure the highest level of customer service to stakeholders.
To ensure recovery of overdues on Outdoor Licenses and leases timely collection of payment and provide full coordination support for Leasing functions.
Responsibilities:
Conduct site visit with potential clients to proposed outdoor area.
Liaise with Asset & Development Teams for approval on OLA criteria.
Issue Outdoor License Agreement in line with processes, accurate dimensions payment schedule & relevant terms and conditions.
Reconcile signed Outdoor License Agreement against system records.
Monitor Outdoor Licensing payments are received on due dates.
Conduct site visits to ensure client’s compliance with rules & regulations.
Carryout termination of licenses as per the department policy & procedure.
Coordinate with Leasing Officer/s to issue lease contracts with accurate payment schedule and relevant terms & conditions to registered members in line with leasing processes.
Execute timely renewal of leases in accordance with the approved pricing policy and ensure collection of payment.
Maintain accuracy of data entry into Salesforce for precise revenue reconciliation.
Coordinate with DMCC Asset/Concordia for handover of units at the start and end of leases, authorize charges/deductions if any, conduct termination of leases and process refund of security deposit.
Handle Leasing queries with walk-ins, calls and emails.
Matching client requirements to available DMCC properties.
Attend to customer complaints and cases within 24 hours.
Attend to Leasing related queries that clients may have and assist them or direct them to the right department.
Handle the case management work queue in Salesforce for the Leasing Department.
Administer the DMCC Coffee Centre leasing process.
Ensure accuracy of data input in salesforce.
Coordinate all Coffee Centre payment issues and terminations with Coffee Centre Team and Finance Department.
Follow up payments through emails, calls and notifications.
Verification and reconciliation of overdues report with Finance Department.
Maintain systematic and up to date filing of lease contracts, related documents and communication.
Ensure all client files kept in designated filling cabinet and validated in timely manner.
Upload client files in the DMS in accordance with filling process.
Qualifications
Two (2) years of minimum experience in a similar role
MS Office, Leasing Management, Salesforce knowledge desirable
Communication Skills (Listening, Verbal, Written)
Language Skills: English, Arabic and other languages will be an added advantage
