Key duties & Responsibilities:
Operation responsibilities
▪ Manage Collaborators Pre-on BOARDING and On-Boarding Process and Induction.
▪ Manage any Collaborators Off-Boarding, exit interviews and departure procedures, ensuring processes align with NAOS GCC policies and culture.
▪ Ensure Office Admin are considered when collaborators need it, Source and oversee office stationery by our supplier we deal with.
▪ Ensure compliance and implementation of company policy and procedure in adherence with the UAE Labor Law.
▪ Ensure office Health & Safety requirements are in place and compliant with best practices.
▪ Provide administrative support including document, spreadsheet, and presentation production.
▪ Helping in Organization of special occasions and events might be pop up during the year.
▪ Handle all Courier if need it for only HR department.
▪ Handle the legalization and help different departments to get document legalized in case need it.
▪ Prepare as needed operation letters and monitor execution.
▪ Ensure permissions from Building Management, delivery and moving out of office furniture and fixtures.
▪ Prepare and generate collaborators’ requests.
▪ Meeting minutes if needed.
▪ HQ Support, updating collaborator database as required.
Ensure yearly renewals in accordance with UAE Law of below licenses:
▪ Trade License
▪ Company Insurance – TPL, Fire, Compensation
▪ Dubai Chamber of Commerce
▪ Rental Agreement Renewal and payment
▪ Annual Operational Certificates – in compliance with Environment, Health, and Safety efficacies as such ascertain validity of fire extinguisher, first aid kit, cartoons removal.
▪ Parking renewals with Concordia.
▪ Establishment Card Renewal with DMCC.
▪ Medical Insurance Renewal for UAE, Kuwait and Qatar collaborators.
New joiner Pre & On-boarding Procedure
▪ Prepare Job Offer and ensure signature.
▪ Ensure sending of employment procedure then apply for Visa.
▪ Prepare Welcome Onboard Folder and products sample.
▪ Introduction of Company Policy, medical insurance and KPI usage.
▪ Prepare Announcement upon official joining date.
▪ Prepare Office tools as such laptop, iPad, Office table, Monitor, Telephone and Internet Cable Connection, Mobile, if necessary, stationaries.
▪ If needed, arrange for transition phase to Dubai, arrange Ticket (one way) and room reservation.
Collaborators Off-boarding Procedure
▪ Prepare application of EOS Online.
▪ Ensure Cancellation of Residence Visa, Emirates ID, Labor Card, Medical Insurance.
▪ Prepare and ensure signature of Discharge and Return of Fixed Assets as such Laptop, Ipad, Mobile Phone, Office Key, Building Access Cards, Parking Access Cards, others.
▪ Arrange and execute farewell party /Exit interview etc.
Trainings for Collaborators and Affiliates yearly:
▪ Organize Meeting Room, room booking of participants, Dubai Visa, and ticket issuance.
▪ Ascertain smooth flow of program and any requests on site.
Know -How & Ideal Profile:
Administrator and coordinator experience
✓ bachelor’s degree in human resources or related field preferred.
✓ Comfortable working in a highly visible role.
✓ HR competence and knowledge of HR process and computer programs.
✓ 2+ years of relevant experience in HR work.
Specific skills
✓ Language: fluent English, Arabic and French are a plus.
✓ Strong skills using Microsoft Office Suite. ✓ Experience using HR software and HRIS database.
✓ Highly organized and efficient worker, skilled at multi-tasking.
✓ Good time-management skills.
✓ Ability to handle stressful situations.
✓ Strong communication skills, both oral and written.
✓ Attentive listener.
✓ Willing to take initiative and work independently when needed.
